1. Introduction
Welcome to Meeting Incentive Experts Inc. (“MIE”). These Terms and Conditions govern your use of our website, www.miexperts.com, and our destination management, meeting planning, and incentive travel services. By accessing our website or engaging our services, you agree to be bound by these Terms.

3. Scope of Services & Insurance Disclaimer
We specialize in destination management services in Mexico, including corporate meetings, incentive travel, logistics, transportation, and venue sourcing.
Availability: All services are subject to availability and formal written confirmation.
Insurance: MIE acts solely as a service facilitator and does not provide travel, medical, or liability insurance. Clients are strongly encouraged to purchase comprehensive travel, medical, and trip cancellation insurance for all participants.
4. Intermediary Status & Third-Party Suppliers
MIE acts solely as an intermediary between clients and independent third-party suppliers (including, but not limited to, hotels, transportation providers, tour operators, and venues).
We do not own, operate, or control these suppliers and shall not be liable for their acts, errors, omissions, negligence, or failures.
All third-party services are subject to the terms, conditions, and cancellation policies of the respective providers.
5. Proposals, Intellectual Property & Validity
All proposals, quotations, and program designs are subject to availability at the time of confirmation.
Proprietary Rights: All custom itineraries, event concepts, pricing structures, and creative materials remain the exclusive intellectual property of MIE until a formal agreement is executed and the required deposit is received.
Changes: Pricing and availability may change without prior notice due to supplier adjustments, availability constraints, or market conditions.
6. Pricing, Currency & Taxes
All pricing is quoted in United States Dollars (USD) unless otherwise stated in writing.
Taxes: Prices may be subject to applicable local taxes by law.
Currency Fluctuations: Prices may be adjusted due to significant currency fluctuations, supplier changes, or government-imposed tax increases.
7. Payments
Payment terms will be defined in each individual proposal or contract agreement.
Failure to make payments when due may result in suspension or cancellation of services, without liability or obligation for refund by MIE.
8. Cancellations, Refunds & No-Shows
Cancellation policies vary depending on the services and third-party suppliers involved.
Written Notice: All cancellations must be submitted in writing.
Standard Conditions: Unless otherwise specified in writing, services may be subject to non-refundable deposits and progressive cancellation penalties based on proximity to the service date.
Non-Refundable Costs: MIE shall not be required to absorb unrecoverable costs from third-party suppliers.
No-Shows: Participants who fail to attend scheduled services will be considered “No-Shows” and are non-refundable.
9. Client Responsibility, Conduct & Indemnification
The Client assumes full responsibility for the conduct of all participants.
MIE reserves the right to remove or exclude any participant whose behavior is deemed unsafe, disruptive, or inappropriate, without entitlement to refund.
The Client agrees to indemnify and hold harmless MIE from any claims, damages, losses, or expenses (including legal fees) arising from the actions, negligence, or misconduct of the Client, its employees, or participants.
10. Assumption of Risk
By engaging in the MIE services, the Client and all participants acknowledge and accept the inherent risks associated with travel, transportation, and destination-based activities.
Such risks may include, but are not limited to, accidents, injuries, delays, environmental conditions, and activities involving physical exertion or alcohol consumption.
11. Force Majeure
MIE shall not be responsible for failure to perform duty due to severe fire, severe weather, flood, order of any government authority, and interruption of power services, terrorism or any other causes beyond the control of MIE as stated by Official US and Mexican Government Authorities. If the client decides to cancel a function because of adverse conditions, client remains responsible under terms of cancellation unless event can be rescheduled or relocated.
In such cases, any refunds shall be strictly subject to the recovery of funds from third-party suppliers. MIE shall not be responsible for covering unrecoverable costs.
12. Limitation of Liability
To the fullest extent permitted by law, MIE shall not be liable for:
Indirect, incidental, or consequential damages, loss of profits, business opportunities or reputational harm, personal injury, accidents, or delays resulting from third-party services
MIE shall not be responsible for any injury, loss, accident, delay, or irregularity arising from participation in activities, including transportation services, excursions, or events involving alcohol.
MIE’s total liability shall not exceed the total amount paid by the Client for the specific service in dispute.
13. Governing Law & Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of the State of Illinois, USA.
Any legal action or proceeding shall be brought exclusively in the state or federal courts located in Cook County, Illinois, USA.
Notwithstanding the above, services physically performed in Mexico may be subject to applicable Mexican laws to the extent required by local regulations.
Both parties agree to attempt good-faith mediation prior to initiating formal legal proceedings.
14. Data Protection
MIE processes personal data in accordance with applicable data protection laws in the USA and Mexico.
15. Updates to Terms
MIE reserves the right to update these Terms at any time. Updates shall become effective immediately upon posting on the website.
